As our IT System Administrator, you’ll help ensure the smooth running of our digital operations and support our events, volunteers, and members through technology. Your responsibilities will include:

🌐 Website Management

  • Maintain and enhance our WordPress website (content, backups, performance, user experience).
  • Collaborate on event pages, forms, and galleries.

🎨 Design & Communication Tools

  • Design visuals using Canva or similar tools for events and promotions.
  • Support branding and digital asset management.

🎟️ Event Platform Support

  • Set up/manage events using Zeffy and Eventbrite.
  • Ensure registration flows and communication are seamless.

πŸ’» Admin Platforms (Google & Microsoft)

  • Manage Google Workspace and Microsoft 365 accounts.
  • Set up emails, permissions, and shared drives.

πŸ› οΈ IT Support & Documentation

  • Provide basic tech support to board members and volunteers.
  • Develop short guides or training on tools and systems.
  • Maintain best practices in digital security and privacy.

βœ… What We’re Looking For

  • Experience with WordPress, Canva, and event platforms like Eventbrite or Zeffy.
  • Familiarity with Google Workspace and/or Microsoft 365 administration.
  • Strong problem-solving and communication skills.
  • Interest or experience in working with non-profits or community groups is a bonus.

🎭 Role Overview: Cultural Team Coordinator

As the Cultural Team Coordinator, you'll ensure that all cultural elements β€” performances, music, dance, and theatrical acts β€” are beautifully executed, culturally rich, and aligned with the spirit of each event (like Holi, Janmashtami. Navratri, Diwali, etc.).

πŸ”Ή Key Responsibilities:

  1. Planning & Coordination
  • Plan and schedule cultural performances (dance, music, drama, etc.)
  • Coordinate with choreographers, performers, emcees, and other contributors
  • Ensure each act fits the event theme and time constraints
  1. Auditions & Rehearsals
  • Organize auditions or participant sign-ups
  • Schedule and oversee regular rehearsals
  • Make sure performers are confident, prepared, and stage-ready
  1. Program Flow & Stage Management
  • Create a detailed program sequence (with timing, intros, and transitions)
  • Liaise with stage managers, AV teams, and backstage volunteers
  • Ensure seamless flow between acts and maintain event schedule
  1. Communication & Collaboration
  • Act as the key contact for all performers
  • Work closely with Operations, Media, and Decoration teams
  • Keep leadership informed on progress and needs
  1. Cultural Integrity & Creativity
  • Curate performances that celebrate the cultural essence of the event
  • Promote respectful, inclusive, and engaging content
  • Encourage creativity while maintaining authenticity
  1. On-the-Day Event Support
  • Ensure all performers are present, costumed, and ready
  • Handle last-minute changes calmly and effectively
  • Keep the show running smoothly and on time

As the Operational Support Coordinator, you'll work closely with the organizing committee to coordinate event logistics, support volunteers, and ensure operational tasks are completed efficiently for events such as Holi, Janmashtami, Navratri, Diwali, Game Night, and other GSNB initiatives.

Event Operations & Logistics

  • Assist in planning and coordinating event logistics

Volunteer Coordination

  • Support volunteer recruitment and assignment

  • Coordinate volunteer schedules and responsibilities

  • Provide guidance and ensure volunteers have the resources needed to perform their roles

Cross-Team Collaboration

  • Work closely with Cultural, Decoration, Food, Media, Registration, and Sponsorship teams

  • Help ensure all teams remain aligned with event timelines and operational requirements

  • Communicate updates, issues, and action items to the leadership team

Event Day Support

  • Oversee operational activities during the event

  • Troubleshoot logistical issues and coordinate quick solutions

  • Ensure event schedules are followed and operational areas run efficiently

  • Assist with vendor, volunteer, and committee coordination as needed

Process Improvement

  • Help document operational procedures and event checklists

  • Identify opportunities to improve event planning and execution

  • Support post-event reviews and capture lessons learned for future events
